Privacy Policy

1. Information we collect

Account information — name, email, phone number, and profile photo, collected via our authentication provider (Clerk) when you sign in or are added as a member.

Gym & membership data — plans, joining date, height/weight history, payment method (not full card numbers), and membership status, entered by your gym's staff.

Fitness data — workout plans, exercise logs, and diet plans created by your gym's trainers on your behalf.

Attendance data — check-in timestamps synced from a gym's biometric device. We do not receive or store fingerprint or face templates — those stay on the physical device at the gym.

Device & usage data — standard technical data such as IP address, device type, and app version, used for security and reliability.

2. How we use information

• To provide and operate the Service — dashboards, member records, notifications.
• To process subscription billing for gym accounts.
• To send transactional and gym-initiated notifications (push and WhatsApp).
• To detect, prevent, and respond to fraud, abuse, or security incidents.
• To comply with legal and tax obligations.

We do not sell your personal information.

3. Who can see your data

Member data is visible to the staff of the gym you belong to, scoped to that gym only — one gym cannot see another gym's members. FytSpace staff may access data only to provide support or as required by law.

4. Third-party services we use

• Clerk — authentication and account management.
• Cloudinary — storage for profile photos, exercise images, and food images uploaded through the app.
• Neon (PostgreSQL) — our primary database for gym, member, and billing records.

Each of these providers processes data solely on our instructions to operate the Service.

5. Data retention

We retain account and gym data for as long as the account is active, and for a reasonable period afterward to meet legal, billing, and dispute-resolution obligations. You can request earlier deletion — see our Account Deletion page.

6. Your choices & rights

• Ask your gym's staff to correct inaccurate member details.
• Request a copy of the personal data we hold about you.
• Request deletion of your account and associated data, subject to legal retention needs.
• Opt out of non-essential notifications from within the app.

7. Security

We use industry-standard measures — encrypted connections, scoped database access per gym, and role-based permissions — to protect your data. No system is perfectly secure, and we encourage you to use a strong, unique password and keep your device secure.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the date above.
